TERMS AND CONDITIONS

Application constitutes a request to attend a specific course offered by Safer Cycling Calgary. All required information must be completed in order to have application considered. All applications are reviewed by Safer Cycling Calgary to determine participant's readiness for the course. In the event of an application which does not meet requirements, the parent/guardian will be contacted with information on the reason(s) the application is deemed unacceptable. Applications which are accepted will be invoiced for the entire course registration fee. Placement in course is not confirmed without payment of full course fee. 

 

 

REFUNDS AND CANCELLATIONS

 

You may cancel your application at any time prior to payment without penalty. Once approved and the registration fee is paid, you are able to cancel your registration within 1 business day of payment without penalty. Otherwise the following will apply:

  • A cancellation request received more than 3 weeks prior to the course start date will be refunded less an administration fee of 25% of the course fees.

  • A cancellation request received less than 3 weeks but more than 3 days prior to the course start date will be refunded less an administration fee of 40% of the course fees.

  • A cancellation request received with 3 days or less prior to the course start date will not be eligible for a refund unless due to a medical reason or extenuating circumstances and then may be subject to a cancellation fee of 75% of the course fees.

  • "No shows" will not be eligible for any refund.

  • Multi-day courses, including day camps, must be attended in full: a participant that misses any part of any day and is unable to continue will not be eligible for any refund. Participants who are removed from a course due to tardiness, inadequate equipment, skills or knowledge, or inappropriate behaviour will not be eligible for any refund.

 

Unfortunately, the above applies in cases of injury and/or emergency. Cancellation requests with little notice do not allow us the time to fill the associated spot and our goal is to stay in business for when you are able to attend a course. 

 

 

TRANSFERS

 

Transferring your registration to an alternate course will result in an administration fee as follows:

  • A transfer request received more than 3 weeks prior to the start date will be subject to a $25 administration fee.

  • A transfer request received less than 3 weeks but more than 3 days prior to the start date will be subject to a $40 administration fee.

  • A transfer request received with 3 days or less before the start date will be subject to a $125 transfer fee.

 

Full payment of the administration fee will be required before registration in the alternate course will be confirmed. Course availability is subject to change and availability can not be guaranteed. In the event a suitable course is not offered or available, the above cancellation fees will be applied.

 

 

SUBSTITUTIONS

 

No substitutions to the registered participant will be accepted without application and approval of the substitute participant. In addition, the following fees will apply for substitution requests:

  • A substitution request received more than 3 weeks prior to the course start date will not be subject to an administration fee.

  • A substitution request received less than 3 weeks but more than 7 days prior to the course start date will be subject to a $10 administration fee upon approval of new participant. 

  • A substitution request received less than 7 days but more than 3 days prior to the course start date will be subject to a $50 administration fee upon approval of new participant.

  • A substitution request received 3 days or less prior to the course start will not be considered and the above transfer or cancellation fees will apply.

 

Full payment of the administration fee will be required before the new participant will be confirmed. Failure to remit payment will result in the original participant's registration being cancelled, subject to the above cancellation fees, calculated from the date of the substitution request. Any changes, including cancellation, for the new participant will be subject to the above terms.

 

 

LATE DROP OFF AND PICK-UP POLICY

 

All participants are expected to arrive on time. If you are arriving late we cannot guarantee that your child will be able to continue in the camp: if the group has left, your child will be considered a "no show," will not be permitted to continue with the camp and no refund will be available.

 

If you are later than 4:15pm when picking up your child, a $25 late charge will apply. More than one outstanding late fee may result in your child being removed from camp without possibility of refund. Child Protective Services will be notified if your child has not been picked up by 4:45pm.
